Paying us: the schedule, the account, and what we never do
A 30% deposit, balance 30 days out. This page carries the real account details, every fee, and the signals that mean you are being defrauded.
The payment schedule
Every trip follows the same schedule and there is nothing hidden in it. The exact amounts and dates appear on your confirmed quotation before you transfer anything.
- 30% deposit to confirm. We place hotel and domestic flight bookings only once it clears — nothing is held before that.
- Balance no later than 30 days before arrival. Bookings made inside 30 days are payable in full at confirmation.
- Final documents within 48 hours of the balance clearing: hotel vouchers, flight tickets, guide and driver names, and the 24-hour number.
Vietnamese hotels and airlines release unpaid bookings. The date is not us wanting your money early; it is the deadline our suppliers set for us. If it is genuinely awkward, say so — moving it a week is usually possible outside peak season.

Bank charges at your end are yours; intermediary charges on the Vietnamese side are ours. If an intermediary shaves the amount, we do not ask you to make up the difference.

This is the only corporate account demo_legal_entity_name uses. Never transfer to a personal account, whoever asks and whatever name they use.

Quote the booking reference on your invoice. Without it the money still arrives, but reconciliation is slower — and in peak season a day's delay can cost a room.
Things we will never do
Travel is a standard target for payment fraud. The list below is what Vietnam Trekking will never do. If any of it happens, stop and call the number on our contact page.
- Ask you to transfer to a personal account
- Ask for payment in cryptocurrency, gift cards or a wire service such as Western Union
- Send new bank details by email with a request to hurry — this is the most common mailbox-compromise script in the industry
- Ask you to read out a one-time code or your card's CVV
- Collect cash in Vietnam for anything already on your itinerary. If a supplier asks you to pay for something listed in your programme, do not pay it — call us
If you receive an email saying our bank details have changed, do not reply to it. Call the number printed on this website's contact page and ask. A thirty-second call defeats almost every version of this fraud.
Invoices, tax and refunds
- A VAT invoice is issued in the name of demo_legal_entity_name on request; send your company tax number before departure.
- Prices are quoted in USD. Payable in VND at the interbank rate on the invoice date if you prefer.
- Refunds go back the way the money came, normally within 5 to 10 working days of the amount being agreed.
- Card refunds then take the issuing bank's own processing time, usually a further 3 to 7 days.

Questions travellers ask most
How much deposit do you take?
30% to confirm, with the balance due 30 days before arrival. Bookings made inside that window are payable in full at confirmation.
Where a peak-date hotel requires non-refundable prepayment, it appears as a separate line and is explained before you pay.
Can I pay by card?
Yes, through a payment link we send. The processor fee is shown separately and passed through at cost rather than buried in the price.
Bank transfer is cheaper on larger amounts and is what most travellers use.
Can I pay cash on arrival in Vietnam?
Not for the trip balance. Suppliers here are paid in advance, which is the reason the balance date exists.
Personal spending during the trip is cash, of course.
How do I know your bank details are genuine?
The correct details are on this page and on your stamped invoice. If you receive anything different by email, telephone us before transferring.
We never change bank details by email and never accept payment into a personal account.
