What we collect

What you give us

The enquiry form on this site collects exactly these fields and nothing else:

  • What kind of trek
  • Your name
  • Email
  • When you plan to walk
  • How many walking
  • Honest walking fitness of the slowest person in your party
  • Length of the whole trip in Vietnam
  • What matters most
  • Budget per person per day, land only
  • Country you fly from
  • Phone or WhatsApp
  • Anything we should know
  • Call me instead of emailing

What a booking adds

  • Passport details for each traveller, used for domestic flight tickets and the guest registration Vietnamese law requires
  • Dietary requirements, medical conditions and mobility limits where you declare them
  • Emergency contact details
  • Payment records — we do not store full card numbers; the payment processor handles that

What the server records by itself

The web server logs IP address, time, page requested and browser type, for operations and abuse prevention.

Cookies and measurement

This is a static website. We set no tracking cookies, run no advertising pixels and use no third-party analytics.

Browser storage is used only for display conveniences and never to identify you between visits.

Who we share it with

Only where it is needed to make your trip happen:

  • Suppliers — hotels, airlines, boats, guides and drivers. Each receives only what their service requires.
  • Vietnamese authorities — every foreign guest staying overnight is registered with the local police by the accommodation. This is a legal requirement, not our choice.
  • Technical processors — listed immediately below.

We do not sell data, do not trade traveller lists, and do not send marketing to people who have not asked for it.

How long we keep it

  • Enquiries that do not become bookings: deleted after 36 months.
  • Records of trips that ran: kept for the statutory accounting period, which in Vietnam is 10 years.
  • Passport copies: deleted within 90 days of the trip ending.
  • Server logs: 12 months.

Your rights

You can ask for a copy of what we hold, ask us to correct anything wrong, ask for deletion where we no longer have a basis to keep it, withdraw consent to email, and object to processing based on legitimate interest.

Write to demo_email_privacy. We respond within 30 days. We will verify your identity first — that protects you, it is not an obstacle.

Note that data held under accounting or guest-registration obligations cannot be deleted on request during the statutory period.

Children, changes and complaints

  • We do not collect data directly from children. Details of children travelling are supplied by the adult making the booking.
  • This policy can change. The current version always lives at this address, effective demo_effective_date.
  • If you believe we have handled your data wrongly, complain to us first; you also have the right to complain to the competent supervisory authority.
